BRILL!ANT Academies
Theatre, Dance & Film
By joining BRILL!ANT, you agree to abide by the following terms and conditions. Membership is open to all subject to the following policies:
General Liability & Responsibilities
- BRILL!ANT accepts no responsibility for loss or damage of personal belongings while on the premises.
- BRILL!ANT accepts no liability for any injuries sustained while participating in performances, projects, classes, or while on the premises. All activities are risk-assessed on an ongoing basis.
- Any injuries sustained on-site must be reported immediately to BRILL!ANT staff per our Accident Report Policy.
- Members must regularly update their details and inform BRILL!ANT of any changes to information provided on the Registration Form, including student health, emergency contacts, and personal details.
Staff & Supervision
- All staff, including cover teachers, are qualified, experienced, and enhanced DBS checked. Volunteer class assistants, trainees on placements, and chaperones are also DBS checked.
- A first aider and mental health first aider are always present on-site.
- Students in school years 3 – 6 will be supervised when walking to and from the toilet. Students in years 3 – 6 will always be supervised while on site.
- Parents/carers are not permitted to sit in on classes or rehearsals unless authorised by BRILL!ANT staff in exceptional circumstances.
Behaviour & Code of Conduct
- Racist, sexist, homophobic, transphobic, or any offensive language/behaviour is strictly prohibited. Membership may be terminated without notice at the CEO’s discretion.
- Students must respect staff, fellow students, and academy property, including film and dance equipment where applicable.
- All members (students, staff, and parents) must adhere to the BRILL!ANT Code of Conduct.
Performances, Shows & Events
- BRILL!ANT provides costumes and props where possible. Parents may be required to supply basic costume accessories (e.g., black trousers, white shirts, modesty wear).
- All provided costumes should be labelled and stored neatly in a 15L clear plastic box.
- If a student cannot attend a performance, we will keep them engaged in rehearsals where possible, but no refunds or date changes will be offered.
Filming & Photography
- Images, video, and film may be taken during classes, rehearsals, and performances.
- BRILL!ANT reserves the right to use student images and video footage for promotional, educational, and marketing purposes unless we receive explicit written refusal from parents/carers.
- Film Academy students: By attending a Film Academy session, you agree that your child may appear in student productions and promotional films unless an opt-out is submitted.
Food & Water Policy
- BRILL!ANT is a nut-free and seed-free academy. Nut-based or seed based food or sauces are strictly prohibited.
- No chewing gum, fizzy/energy drinks, or coffee-based drinks.
- Students on-site for over 3 hours must bring extra snacks.
- A minimum of 500ml-1L of water must be brought to every class.
Uniform & Appearance
Wearing the correct BRILL!ANT uniform is essential for professionalism, health, and safety:
- All students must wear the official BRILL!ANT T-shirt (provided upon membership registration). Additional items must be purchased from our website.
- Bottoms: Plain black tracksuit bottoms or leggings (no logos/patterns). Shorts may be worn in hot weather only, but must be of appropriate length (ideally knee length).
- Footwear:
- Theatre & Film Academy: Trainers or suitable footwear, not sandals, flipflops or crocs.
- Dance Academy: Appropriate dance shoes per style (ballet, jazz, etc.)—students must provide their own.
- Long hair must be tied back, and jewellery should be removed or covered. Nails should be kept short and neat.
- No drastic changes to appearance (hair colour, nails, piercings) leading up to performances or projects.
Attendance & Punctuality
- Students must arrive 10 minutes before their scheduled start time.
- Students arriving 15+ minutes late may be denied entry at the discretion of BRILL!ANT staff.
- Persistent lateness may lead to membership review and potential removal.
- Absences must be requested via email at the start of the term. (use the exact email provided within comms)
- Missing more than three sessions per term may result in loss of performance participation or future enrolment.
- In case of illness/emergency on the day, parents must call the emergency contact number, not email.
Child Drop-off & Collection
- Years 3 – 6: Must be dropped off and collected by a responsible adult or older child (pre-arranged with BRILL!ANT).
- Years 7 and up: May arrive and leave unaccompanied unless we are otherwise instructed.
- Late pick-ups:
- If a parent is unreachable, emergency contacts will be called in the order listed.
- If extended wait times occur, a senior staff member will determine next steps, including notifying authorities if necessary.
Annual Membership, Payments, Cancellation & Re-enrolment
This policy applies to:
- Brilliant Theatre Academy of Performing Arts
- Brilliant Film Academy
- Brilliant Dance Academy
1. Annual Membership
- Membership of a Brilliant Academy is based on an annual programme comprising between 37 and 40 scheduled teaching weeks per membership year, depending on the annual programme calendar.
- The exact number and scheduling of teaching weeks may vary from year to year due to the structure of school terms, public and bank holidays, venue availability and the operational requirements of the Academy.
- The annual membership fee is divided into 12 equal monthly instalments to provide a consistent payment schedule throughout the year.
- Monthly payments do not represent payment for the classes or sessions taking place within that particular calendar month.
- This means that monthly membership payments remain payable during scheduled non-teaching periods, including school holidays, Christmas, Easter and the summer break.
- The absence of scheduled sessions during a particular month does not constitute a pause in membership or remove the requirement to make the applicable monthly instalment.
2. Current Membership Fees
- The current monthly instalments are:
- Brilliant Theatre Academy of Performing Arts: £156 per month
- Brilliant Film Academy: £140.40 per month
- Brilliant Dance Academy: £65 per month
- These monthly payments represent equal instalments towards the applicable annual membership fee and are not calculated according to the number of sessions taking place within an individual calendar month.
- Based on 12 monthly instalments, the current annual membership fees are:
- Brilliant Theatre Academy of Performing Arts: £1,872 per year
- Brilliant Film Academy: £1,684.80 per year
- Brilliant Dance Academy: £780 per year
- Where applicable, fees are inclusive of VAT.
- Brilliant reserves the right to review and amend membership fees. Parents/guardians will be notified in advance of any changes in accordance with the membership terms.
3. Continuous Membership
- Membership is intended to operate continuously throughout the membership year.
- The 12-payment structure exists to spread the cost of the annual programme of between 37 and 40 scheduled teaching weeks evenly across the year. It should therefore not be interpreted as twelve separate monthly purchases.
- Members cannot ordinarily pause membership payments during school holidays, examination periods, family holidays or other periods in which they choose not to attend.
- A student's non-attendance does not automatically reduce, suspend or cancel the membership fee.
- Any exceptional circumstances will be considered individually at the discretion of Brilliant.
4. Cancelling Membership
- Parents/guardians wishing to leave an Academy must follow Brilliant's formal cancellation procedure and provide any notice required under the applicable membership terms.
- Cancelling a Direct Debit instruction with a bank or payment provider does not, by itself, constitute valid notice of cancellation.
- Any membership fees or other sums that have already become due remain payable.
- Once membership has ended, the student's place at the Academy is relinquished.
- Brilliant may therefore offer that place to another student and cannot guarantee that a place will remain available should the former member subsequently wish to return.
5. Rejoining After Cancellation
- A student whose membership has ended will normally be regarded as a returning member if they subsequently apply to rejoin.
- Rejoining is not automatic and is subject to:
- availability within the relevant Academy and group;
- the membership fees applicable at the time of rejoining;
- completion or updating of registration, medical, safeguarding, emergency contact and consent information where required; and
- any applicable re-enrolment requirements.
- Brilliant reserves the right to require a returning student to complete an induction or re-induction where this is considered appropriate because of the length of time they have been absent, changes to the programme or other operational or safeguarding considerations.
6. Short Term Cancellation and Reinstatement
- The annual membership payment structure must not be used to create temporary payment holidays.
- Where a member cancels their membership and subsequently requests to rejoin within 90 days, Brilliant may offer reinstatement of the previous membership, rather than processing the student as a completely new member.
- As a condition of reinstatement, Brilliant reserves the right to require payment equivalent to the membership instalment(s) that would have fallen due during the period between cancellation and reinstatement.
- This provision is particularly relevant where membership is cancelled immediately before a scheduled non-teaching period, including the summer break, and the student subsequently wishes to return when teaching resumes.
- For example, a member who cancels their membership before the August instalment and then requests to return in September may be required to pay the August instalment before their membership can be reinstated.
- The applicable reinstatement amount would currently be:
- Brilliant Theatre Academy of Performing Arts: £156
- Brilliant Film Academy: £140.40
- Brilliant Dance Academy: £65
- The normal September membership instalment would then also become payable in accordance with the usual payment schedule.
- This ensures that members who maintain continuous membership are not financially disadvantaged compared with members who cancel solely during scheduled non-teaching periods.
7. Genuine Changes in Circumstances
- Brilliant recognises that families' circumstances can change.
- Where membership has been cancelled because of exceptional circumstances, Brilliant may use reasonable discretion when considering any subsequent request to return.
- Any exception or concession offered in one individual case does not create an entitlement to the same arrangement in another case.
8. Places and Waiting Lists
- A student's place is protected while their membership remains active and payments are maintained in accordance with the membership agreement.
- Once membership has ended, Brilliant is under no obligation to reserve that student's former place.
- Where an Academy or group is at capacity, returning students may be required to join the waiting list.
- A previous membership does not give automatic priority over existing members or applicants who have already been offered a place.
9. Acceptance
- By taking or maintaining membership with a Brilliant Academy, the parent/guardian acknowledges that:
- membership relates to an annual programme comprising between 37 and 40 scheduled teaching weeks, depending on the annual programme calendar;
- the annual membership fee is collected through 12 equal monthly instalments;
- monthly payments do not correspond directly to the number of sessions delivered within that calendar month;
- payments therefore continue during scheduled non-teaching periods;
- student non-attendance does not automatically suspend membership or payment obligations;
- cancelling membership relinquishes the student's place;
- rejoining is subject to availability and the terms applicable at that time; and
- short-term cancellation cannot be used as a means of avoiding instalments during scheduled non-teaching periods.
Non-payment & Debt Collection
- BRILL!ANT reserves the right to withhold services if fees are unpaid.
- Children may be turned away if attending without a parent/carer and outstanding payments remain unresolved.
- BRILL!ANT may share data with debt collection agencies for unpaid fees.
Cancellations & Refunds
- No refunds are issued for missed classes, rehearsals, or performances, or any cancellations of an Academy session.
- In the event we must cancel an Academy session we will endeavour to make up any hours lost at a later point in the year.
- Force Majeure (lockdowns, pandemics, etc.): Classes will move online if in-person sessions cannot run for an extended period. No refunds will be given.
- Refunds may be considered in some extreme cases, subject to a £10 admin charge.
Emergency Contact & Communication
- BRILL!ANT’s emergency phone number (provided upon registration) should only be used for urgent attendance issues.
- For all other communication, email is the preferred method.
